The items to be auctioned are put on display. The point is that you are not bidding in the dark like sealed bid auctions. In that case, you submit your bid in writing in a sealed envelope. The envelope is opened and the highest (or lowest, as the case may be) bidder is notified. But in silent auctions, you have the opportunity to see what someone else bid on a particular item. Often, you can even see who submitted that bid, though some silent auctions assign numbers for your bidding to ensure anonymity.

If you enjoy auctions, there are some real pros and some cons to silent auctions. One of the biggest pros is that there is no need to stand around and wait for the item you are interested in to come around a process that sometimes takes hours. Instead of waiting until the auctioneer comes to that item, you can just walk around and bid on whatever catches your eye.

If you think that the excitement of bidding against another bidder is absent from silent auctions, think again. The bidding can sometimes become fierce with several people guarding the item they are bidding on to watch for opposing bidders. Make sure that someone is in charge of accumulating all the stuff in a central location. While it's great to have as many items as possible, pick and choose depending on constraints of space, location and target bidder audience.

That being said, we would recommend featuring items across a broad price spectrum. After all, the idea of organizing a silent auction is to raise funds, and not everyone has uniformly high resources. But you can improve your success rate by presenting things that are either a good buy or rare to find. People will often willingly pay more for stuff that is unique.

Spread the good word.

To build excitement, you need to create a pre-auction publicity campaign. Let people know what they can expect from the event. Do not forget to include details of when, where and why it is taking place. Make sure the message is memorable and frequently seen or heard. Organizing a silent auction within another, larger event such as an annual convention, works well. In such cases, ensure that you include details about the auction within the registration pack of the main event.

Don't cramp its style.

You will need a suitable space for organizing a silent auction. There has to be a facility to display the goods up for grabs, seat a large audience, allow for free passage as well as complete security. Make sure the room is well lit and airy.

Keep it sharp.

Work to a schedule. Bidding must stop at the appointed hour and volunteers should be ready to collect the bid sheets right away. Of course, the auction manager must have a list of all the items, properly coded and indexed. Once the top bidder is identified, he or she must be given a deadline by which to pay for and collect their items, failing which it passes on to the second highest bidder.

Have fun.

Make sure you plan for having a lot of fun while organizing a silent auction. The whole point is to enjoy it, right? A festive look always improves the mood. And if you can throw in a dinner banquet, it'll probably be a runaway success.
