Are you constantly searching for a file in that pile on your desk? This article is designed to provide you with file recovery tips to that will help you find your documents quickly and easily. Specifics may vary from person to person; however, the following information includes helpful and important guidelines from which everyone can benefit.



How to Achieve Speedy Recovery of Missing Files

Uh oh, that original contract from your company's biggest customer is missing in action. You have 10 minutes to find it before your boss comes around looking for it. Now what do you do?

First, take a deep breath. It's in your office somewhere and running around half-crazed is no way to find it. Chances are very good it's simply been misplaced, not lost. You know, it's probably in that big pile on the corner of your desk... or maybe the other big pile next to your computer on the floor. Sounds like a little file organization might just be the next task to hit your inbox!

To follow are six easy file recovery tips that will likely result in retrieving the missing document:

File Recovery Tip #1: Start at your desktop. A desktop filled with stacks of records as well as many loose papers scattered around is a perfect hiding spot for a missing document. Carefully check under, in and around each pile and beneath each loose paper.

File Recovery Tip #2: Go to your in/out box. Maybe you mistakenly placed the document in that tray on the corner of your desk, the tray that's normally reserved for ingoing and outgoing mail. Take a look, you might find it there.

File Recovery Tip #3: Ask around. Finding a missing document could be as simple as inquiring among co-workers. As you well know, papers in a busy office are constantly circulating and it could be that your AWOL contract was routed to someone else's desk accidentally.

File Recovery Tip #4: Visit the file cabinet. Let's say the contract is for a specific corporation, maybe one that begins with the letter "B" Possibly the document was inadvertently put into the file...either by you or a co-worker. Go to the file, check the B section. And, be sure to check surrounding sections...because in addition to being mistakenly placed in the file cabinet the document might also have been misfiled in the wrong section.

File Recovery Tip #5: Check office machinery. Perhaps the document, without your knowledge, has been brought by a co-worker to a fax machine or to the copy machine - or maybe you left it there yourself. Take a look, you may just find it there.

File Recovery Tip #6: Make a call to the mail room. Many companies employ mail-room workers who are continuously making the rounds throughout offices, delivering incoming mail as well as picking up outgoing mail. Maybe your document was mistakenly identified by a mail-room employee as outgoing and the document is sitting either in the mail cart or in the mail room itself.

Finding a lost file

A lost file could still exist even though you can't find it. A file could be deleted or lost due to a power outage, software application crash, virus attack, partition problem or an accidental format; a software crash; partition table problems; and the world-famous accidental format. You can resolve any of these problems using one of several different options depending on how the file was lost. I'll explain...

File recovery products are more capable of solving your recovery problems than a basic undelete utility. However, both undelete and file recovery software are unable to recover data in cases where the file system has been altered. But data recovery software can. Most people think all of these products are the same because they address a similar issue, but they are not. The state of your file system will decide which data restore program you will need.

To makes matters more confusing: Even though a file recovery tool is limited in what it can accomplish as a stand alone product, when it is included as an operation in data recovery software, it recovers both problems (when the file system is ok or where it has been altered). So when you aren't sure which to use, go with the data recovery utility because it covers the whole gamut.

An added twist: If you still don't understand how to determine one software solution from the other, just remember that a file recovery tool is limited to what it can accomplish on its own. If it still feels like information overload or a lot of extra work, just work with data recovery software because it is the more powerful tool.

Checking prices is the absolute simplest way to tell the difference between the different software programs. File recovery software and its sibling undelete programs will cost less than seventy-five dollars, while a full-on data recovery utility runs upward of eighty bucks - and sometimes in the hundreds.

Corrupt files

A corrupt file refers to a file that can be located, but it cannot or does not open correctly; as you open the file the content is unreadable. You can use the same principles of file recovery on corrupt files: if the file system is unchanged, any file recovery utility can get the job done. If that doesn't work, try a data recovery software program just like with lost files.

Repairing damaged files

You can open a damaged file, but you may not be able to read it well. Part of the text may be clear, but the rest of the file will not be legible. You must use a file repair software to reconstruct your data. Make sure the software you are using state that it can actually repair a file, because file repair works differently than file recovery functions. Be aware that file repair utilities are usually sold separately, like an excel repair program.

File recovery experts

Data recovery tools are not always the answer. There are some situations that just can't be repaired using the programs available on the market. Situations like these may require consulting with a hard drive data recovery expert as the last option. This is a more expensive option - however, even this file recovery solution is easier and cost-effective than recreating all the data.
